Guidelines on the two raw data extract types we have available and how to access

Who is this guide for?

Account Admins, Survey Data Analysts

When it comes to survey data extracts, there are two main types:

  1. De-identified data extract: This keeps your data confidential and is the standard type we offer.

  2. Full Raw data extract: This in-depth data extract can include identifiable information, such as a unique identifiers (e.g., Email or Employee ID) or multiple demographics that, when cross-filtered, might compromise confidentiality. To access this extract, ensure the raw data extract option is enabled before launching your survey.

1. De-Identified Raw Data Extract Conditions

It is important to note:

  • We are able to provide just one de-identified data extract per survey.

  • Multiple files with different demographics aren't available.

  • Your file will be provided in an Excel format, password-protected in a .ZIP file.

  • The file can only be shared with a survey data analyst

  • The file will be delivered within a week of survey closure, unless specified otherwise.

What is in the de-identified data extract?

  • The survey responses are de-identified (no Email/Employee ID or Name), except for one chosen demographic like department.

  • Responses are reported based on given values, e.g., if someone rates a question 4 out of 5, it'll show as “4” in their response.

  • A ‘-1′ means the rating question was skipped.

  • Custom multi-select question choices are recorded in one cell.

  • Only one demographic is included with the responses.

  • Demographic data must meet the minimum group reporting number to display.

  • Comments are removed, and submission timestamps aren't provided.

How do I request a de-identified data extract?

  1. Make sure you have the survey data analyst role assigned. This is a requirement before any files can be shared.

  2. To make the request, contact our Culture Amp Support team via email: support@cultureamp.com or ask to speak with a support specialist during your live chat.

  3. Share the survey name and the preferred demographic for inclusion.

  4. Note: Only one de-identified raw data extract is available per survey.

2. Full Raw Data Extract Conditions

It is important to note:

  • Warnings for participants are integrated into the survey's reporting rules when the Raw Data Extract option is enabled, as detailed here.

  • Once the survey is live, the Raw Data Extract option can't be enabled.

  • Users with the survey data analyst role can export the full raw data from the survey anytime.

  • All demographics enabled on the survey will be supplied alongside the response data

FAQs

Can I request additional de-identified raw data extracts with a different demographic for the same survey?

Due to confidentiality reasons, we can only provide one de-identified raw data extract per survey, with one demographic of your choosing, such as Department or Location, but not both.

Why would I want a full raw data extract for my survey?

A full raw data extract can be a valuable resource, especially for data professionals like data scientists or analytical experts. It proves useful for teams looking to store survey data in a data warehouse or integrate it with other datasets for research purposes.

Will a full raw data extract for a survey work in my organization?

Enabling a full raw data extract for your survey might work, but it's essential to consider its impact. Culture Amp prioritizes secure data storage, ensuring survey takers their responses are confidential. With raw data extracts, this security changes. If you plan to use this feature:

  • Required: Enable the Raw Data Extract option in Survey Configuration before launch. We won't provide raw data extracts without warning participants.

  • We highly recommend: Describe your analysis approach before the survey. Be clear about why certain individuals might access raw results. Transparency is key.

Consider your respondents: Will they feel comfortable giving honest feedback? Trust is crucial for accurate data.

Launching a completely transparent survey relies heavily on your workforce's trust. Without it, you might face low participation rates, or even worse, compromise the entire process with fake answers. Data quality is crucial, especially considering that decisions are based on this information.
